What actually drives the price of an expedited load

Leer en español

Two shippers request the same lane on the same day and get quotes that differ by 40 percent. One of them assumes the expensive carrier is gouging. Usually the difference is not margin, it is what each carrier understood about the load.

We run expedited freight nationwide as a licensed carrier (MC 1530693, USDOT 4043680), so here is how the price of an expedited shipment is actually built.

1. The vehicle, not the distance, sets the floor

Expedited freight is not one product. A sprinter van, a cargo van and a straight truck have different operating costs, different capacity and different availability. A load that fits in a sprinter cannot be priced like a straight truck, and a load that needs a liftgate and 12 feet of floor space cannot be priced like a van.

This is the first thing to get right when you request a quote: exact dimensions and total weight, not “about a pallet”.

2. Deadhead is real money

If the truck is 200 miles away when you call, someone pays for those 200 miles. Carriers who quote without asking where your freight is located are either assuming you are next door or planning to lose money and renegotiate later.

3. The clock is the product

Standard freight moves when the truck is full. Expedited freight moves because someone paid for it to move now. A same-day pickup with a hard delivery window, a weekend, a holiday or an overnight run is priced for the fact that the driver is committing the truck to you and to nothing else.

4. Weight, dimensions and handling

  • Pallet count, dimensions and total weight
  • Whether it can be loaded at a dock or needs a liftgate
  • Whether it must be inside-delivered, or delivered to a specific room
  • Whether the receiving site requires an appointment
  • Whether it is fragile, high value, temperature sensitive or hazardous

Each of those is a real cost, not a negotiation tactic. A liftgate adds time and equipment; an appointment window can cost a driver half a day.

5. The message you send decides the quote you get

The fastest way to a quote you can trust is to send, in one message: pickup city and ZIP, delivery city and ZIP, ready time, delivery deadline, commodity, total weight, dimensions, pallet count, dock or liftgate, and any special handling. With those nine facts a carrier can price the load without guessing, and you can compare quotes that mean the same thing.

Red flags in an expedited quote

  • The quote is far below everyone else and nobody asked about dimensions or weight.
  • No MC or DOT number is provided. You can verify both in FMCSA in under a minute.
  • No confirmation of insurance limits for the cargo value you are shipping.
  • No tracking or status commitment. On a time-critical load, silence is the risk.

Frequently asked questions

What makes expedited freight different?

The load travels dedicated and with time priority instead of waiting to be consolidated with other freight. That is what you are paying for.

How fast do I get a quote?

Usually the same day, provided the request includes pickup and delivery ZIP codes, weight, dimensions, ready time and the delivery window.

Do you operate nationwide?

Yes. We run expedited sprinter, cargo van and straight truck freight across the United States, dispatched from San Antonio.
